This policy explains how White Horse Bar & Restaurant collects and uses your personal information when you visit our website, book a table, make an enquiry, sign up for our newsletter or visit us in East Runton. We keep it short and plain. If anything is unclear, get in touch.
Who we are
White Horse Bar & Restaurant is operated by Stairs Leisure Ltd, a company registered in England and Wales (company number 15266386). Our registered office is Headlands House, 1 Kings Court, Kettering Parkway, Kettering, Northamptonshire, NN15 6WJ.
Stairs Leisure Ltd is the data controller for the personal information described in this policy. You can contact us about anything in it by emailing info@whitehorsebar.co.uk or calling 07821 234567.
What information we collect
Table bookings. When you book a table online or by phone, we collect your name, email address, phone number, booking date and time, party size and any notes you give us, such as a special occasion, seating preference or dietary requirements.
Allergies and dietary needs. If you tell us about an allergy or a medical dietary need, this counts as health information. We only use it to prepare your food safely and only share it with the staff who need to know. We rely on your explicit consent to hold it, and you can ask us to delete it at any time.
Enquiries. When you contact us through a form on our website (for example about private hire, events or heli-dining), by email, by phone or through social media, we collect your name, contact details and whatever you include in your message.
Newsletter. If you sign up for news, we collect your email address and a record of when and how you signed up.
Website usage. When you use our website, we and our service providers collect technical information such as your IP address, browser and device type, pages viewed and how you arrived at the site. See the Cookies section below.
In the venue. If you pay by card, your payment is processed by our card payment provider. We do not store your full card details.
How and why we use your information
Data protection law requires us to have a lawful basis for using your information. We use it:
- to take, manage and confirm bookings, send reminders and contact you about changes (to perform our contract with you, or take steps at your request before one)
- to reply to enquiries and arrange private hire, events and heli-dining experiences (to perform a contract, or take steps at your request)
- to send our newsletter about events, new openings and seasonal menus (with your consent, which you can withdraw at any time using the unsubscribe link in any email)
- to keep our website secure, prevent spam and understand how it is used so we can improve it (our legitimate interests, and your consent where cookies require it)
- to handle allergy and dietary information (your explicit consent)
- to keep financial records and meet our legal, tax and licensing obligations (legal obligation)
We will never sell your personal information.
Who we share it with
We only share your information with organisations that help us run the business, and only as much as they need:
- ResDiary, our table booking system, which stores and processes booking details on our behalf
- Our email marketing provider (Mailchimp), which stores newsletter subscribers and sends our emails
- Saxon Air, our heli-dining partner, where you ask us to arrange a helicopter experience. Saxon Air will handle your details under its own privacy policy for the flight element
- Google, which provides website analytics (Google Analytics) and spam protection on our forms (reCAPTCHA)
- Cloudflare and our website hosting provider, which host, secure and deliver our website
- our card payment provider, accountants and professional advisers
- the police, local authority or other regulators where the law requires it
Some of these providers are based outside the UK, including in the United States. Where information is transferred abroad, we rely on appropriate safeguards such as the UK Extension to the EU-US Data Privacy Framework or UK-approved standard contractual clauses.
How long we keep it
- Booking records: up to 2 years after your visit
- Allergy and dietary notes: until you ask us to remove them, or 2 years after your last booking
- Enquiries: up to 12 months after we last hear from you, unless they lead to a booking
- Newsletter subscriptions: until you unsubscribe
- Financial and transaction records: 6 years, as required for tax purposes
- Website analytics data: 14 months
Cookies
Cookies are small files stored on your device when you visit a website. We use:
- Essential cookies, which the website needs to work and stay secure, including those set by Cloudflare and our booking widget
- Analytics cookies, set by Google Analytics, which tell us how many people visit and which pages they use. These are only set with your consent
- Spam protection, where Google reCAPTCHA on our forms checks that submissions come from a person rather than a bot
Our pages also link to, and may display content from, Instagram, Facebook and TikTok. Those platforms may set their own cookies, which are covered by their privacy policies.
You can block or delete cookies through your browser settings. Blocking essential cookies may stop parts of the site, such as online booking, from working.
Your rights
Under UK data protection law you have the right to:
- ask for a copy of the personal information we hold about you
- ask us to correct information that is wrong or incomplete
- ask us to delete your information
- object to or ask us to restrict how we use it
- ask us to transfer it to you or another organisation
- withdraw your consent at any time, where we rely on it
To use any of these rights, email info@whitehorsebar.co.uk. We will respond within one month and there is normally no charge.
Keeping your information secure
We use reputable providers, secure connections and restricted access to protect your information. Only staff who need your details to do their job can see them.
Children
Our website and newsletter are not aimed at children, and we do not knowingly collect personal information from anyone under 16 online.
Complaints
If you are unhappy with how we have handled your information, please contact us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113.
